What you need before you start
- A dedicated WordPress user for automation, with the lowest role that works (often Author or Editor).
- An application password for that user: a separate password just for API access that you can revoke any time.
- Your site's API address, which usually lives at /wp-json/wp/v2/ on your domain.
- A staging site to test on, if you have one.
Your first build: approved drafts, straight into WordPress
The key word is “draft.” Nothing here publishes on its own.
- Keep approved drafts in a sheet or doc with a title, body, and slug for each.
- Have your workflow send each one to the posts endpoint with the status set to draft.
- Add the category and tags in the same step.
- Post the draft's edit link to your editor in Slack.
- The editor reviews it, adds images, and clicks publish.
Keeping the final click human is the cheapest insurance you'll ever buy.
Mistakes to avoid
- SEO plugin fields such as a Yoast or Rank Math meta description aren't always available through the API by default. You may need extra setup.
- Updates overwrite. If someone edits a post between your workflow reading it and writing it back, their changes can vanish. Check the last-modified date first.
- Security plugins sometimes block API requests. Allow your workflow specifically rather than switching protection off.
- Back up before any bulk update.
